1. Scope and controller
KCW Intelligence Labs LLC (“KCW,” “we,” “us,” or “our”), an Idaho limited liability company, is responsible for the personal information described in this policy. This policy applies to kcwintelligence.com, SnapSlabComp, and other KCW products that link to it. A product-specific notice controls if it expressly differs from this policy.
2. Information we collect
Account and identity information
We may collect your email address, display name, identity-provider identifiers, account status, acceptance of legal terms, encrypted or hashed authentication records, session records, and device identifiers used to secure and limit account access. If you use a third-party sign-in provider, we receive the account fields that provider shares with us; we do not receive the provider password.
Product requests and market evidence
Our products may process images or screen captures you intentionally submit, structured item identities, grading details, lookup queries, market sources, sale observations, estimates, confidence, corrections, and validation results. In SnapSlabComp, a selected image is sent for card identification and appraisal. KCW does not retain the screenshot by default; structured card identity, market evidence, valuation results, and quality records may be stored and aggregated to provide and improve the service.
Usage and diagnostics
We may collect app version, request identifiers, timestamps, response status, latency, feature or operation type, model and token usage, search count, error details, and limited device or operating-system information. SnapSlabComp diagnostic exports are designed to exclude screenshots, raw image payloads, API keys, and certification numbers.
Purchases and subscriptions
We may receive a customer identifier, transaction identifier, purchased product or plan, subscription status, credit balance, price, currency, tax region, refund state, and transaction dates from our payment provider. Payment-card numbers are collected and processed by the checkout provider, not KCW.
Support and feedback
We collect information you send to support, including your message, category, app version, contact preference, account email, attachments you choose to provide, and correspondence history.
Website information
Our hosting and security providers may automatically process IP address, browser type, requested URL, timestamps, and security events in standard server logs. We do not currently use advertising pixels, cross-site tracking, or analytics cookies on this site.
3. How we use information
- Provide product identification, market estimates, history, account access, credits, and support.
- Authenticate users, prevent fraud and abuse, enforce limits, and protect the service.
- Cache and aggregate structured market evidence so users can receive faster, more consistent results.
- Measure reliability, diagnose errors, validate outputs, improve models and product behavior, and understand operating cost.
- Process subscriptions, purchases, cancellations, credits, taxes, and refunds.
- Communicate about your account, service changes, security, support, and legal updates.
- Comply with law, enforce agreements, and establish or defend legal claims.
4. AI processing and screenshots
Some product features send user-selected images and instructions to an AI service provider to perform identification or appraisal. SnapSlabComp requests that the provider not store API responses for model-development history by using the provider’s available no-store setting. Provider security, abuse-monitoring, and legal-retention practices may still apply under its terms.
KCW holds the submitted screenshot only as needed to complete the request and does not place it in the shared market database, diagnostic export, or normal application history. We will request separate, explicit consent before retaining an image for an evaluation dataset.
5. When we disclose information
We disclose information only as needed to operate the service, complete a user-requested transaction, comply with law, or protect rights and safety. Categories of recipients may include:
- Cloud hosting and database providers that run the service and store account and structured product data.
- AI service providers that process submitted images and prompts.
- Identity providers selected by the user for sign-in.
- Payment and merchant-of-record providers that process checkout, tax, subscriptions, and refunds.
- Email and customer-support providers used to communicate and resolve requests.
- Professional advisers, authorities, or transaction parties when reasonably necessary for legal compliance, claims, security, financing, reorganization, or a sale of the business.
We do not sell personal information, share it for cross-context behavioral advertising, or permit third parties to use product screenshots for their own advertising.
6. Retention
We keep information only for as long as reasonably necessary for the purposes above, including service operation, security, dispute resolution, legal obligations, and accounting. Retention depends on the category:
- Submitted screenshots are not retained by KCW after ordinary request processing unless you separately opt in to an evaluation program or send an image to support.
- Account and entitlement records are generally kept while the account is active and for a limited period afterward for recovery, security, and disputes.
- Transaction and tax records may be retained for the period required by financial and tax law.
- Support and feedback records are retained while useful to resolve the matter and improve the product.
- Structured, non-image market evidence and valuations may be retained as part of the shared historical dataset. When an account is deleted, KCW may retain de-identified or aggregated evidence that no longer identifies the contributing account.
- Backups and security logs expire on operational schedules and may persist briefly after deletion from active systems.
7. Your choices and rights
Depending on where you live, you may have rights to access, correct, export, delete, or restrict certain processing of personal information, and to appeal a denied privacy request. You may also withdraw consent where processing depends on consent. We do not discriminate against users for exercising privacy rights.
Submit a request through our Data Requests page. We will verify the request using information associated with the account. We may retain information when legally permitted or required, including transaction records and de-identified market evidence.
8. Security
We use administrative, technical, and organizational safeguards designed for the nature of the information, including encrypted transport, restricted service credentials, hashed or encrypted authentication material, and access controls. No system is completely secure, and we cannot guarantee absolute security.
9. Children
Our products are not directed to children under 13, and we do not knowingly collect personal information from children under 13. If you believe a child has provided personal information, contact us so we can review and delete it as appropriate.
10. International processing
KCW is based in the United States. Our providers may process information in the United States and other countries where they operate, subject to applicable contractual and legal protections.
11. Changes to this policy
We may update this policy as products, providers, or legal requirements change. We will post the updated version and effective date here and provide additional notice when required.
